For edition works with unlimited copies or products like books or posters whose sales don’t require a tracking of individual items you can control the number of available copies with the stock management feature of ARTBUTLER 2.9+. For works with this feature enabled you can enter any number of included items in invoices and offers to sell more than one item at a time, the number of available items will be updated automatically in the work record after a sale.
Activate the Feature
- On the first work tab you will find the checkbox Manage item counts that activates the feature for a specific work: new fields for the number of available copies, the sold copies and the total number of copies will appear.
- Add the number of available copies into the related field. You can change this entry at any time.
- The number of already sold items and the total number will be updated automatically when you create an invoice in the section Owner change.
- NB The feature cannot be activated for copies of an edition with an individual record for each copy.
Offering or Selling Multiple Items of One Work
- For works with the stock management feature enabled a field for the number of items included in an offer or invoice will be provided in the invoice dialogue. The number of available copies is displayed as well to prove the availability. When you save the invoice the number of available copies is adjusted accordingly in the work record.
- There are placeholders for the number of items and the item prices available, please try our example invoice template and check the reference templates for more information.
NB Please note that contrary to sales, purchases of additional items are not reflected automatically in the work record, please update the number of available items manually.
